Woman Support Association is a humanitarian, developmental, and nongovernmental organization that was established in 2013 and officially registered in Turkey in 2015. All projects implemented by the Association in Syria and Turkey aim to build a better life for women and empower them so that they can face problems and challenges in a way that maintains their dignity and respect. Overall Role: Under the direct supervision of the Country Director, the Procurement & Logistics Officer provides efficient and effective logistics support to the projects assigned to him/her in accordance with WSA Logistics policies and procedures and relevant donor requirements; S/ he has to provide services in areas such as procurement of services/office equipment, assets, inventory, lease agreements, contracts, etc.

 Duties & Responsibilities: 

• Plan, implement and manage all logistics and procurement services, participate in program planning and provide recommendations on logistical and procurement related issues to ensure smooth accomplishment of projects and in line with WSA Logistics Manual and relevant donor requirements.
 • Prepare electronic and hardcopy procurement files for each PR (Purchase Request) and ensure that all relevant paperwork is filed, original and scanned copies, as per WSA Logistics Manual and internal audit requirements;
 • Assist prepare Bid Analyses (BA) for review by the PM, and obtain the necessary signatures for approval from budget-holders and finance department; 
• Conduct Anti-Terrorist Checks (ATC) for all new suppliers;
 • Raise Purchase Orders to place the order with the chosen supplier and follow up the status of the goods, to delivery to the required location, as per the PR 
• Complete procurement file paperwork, including collecting GIDs, and forward with supplier invoice in a timely manner for raising Payment Request Forms (PRF) for suppliers;
 • Support the PM to ensure that the Order Tracking System is maintained up to date and updated daily before the close of business.
• Design, implement and manage contracts with suppliers in shipping, transportation and storage. 
• Represent WSA in all logistical activities with other organizations and at the Cluster meetings 
• Carry out all procurement processes including requirements of quotations and tenders in accordance with WSA policy.
• prepare logistics and procurement monthly reports and share all challenges and lessons learned with the direct supervisor.
 • Coordinate with other departments to ensure completing the tasks on time. 
• Provide supervision to the field logistics and Procurement Assistants.
 • Communicate with service providers and relevant stakeholders.
 • Responsible for promptly procuring all office supplies & stationary, track their distribution and usage; responsible for following up the maintenance of the office as needed

Competencies & Skills: 

• At least one year of relevant work experience in areas such as procurement, logistics, office/business administration in private or government sectors; 
• Ability to understand and implement organizational and donor policies;
 • Strong computer skills in Microsoft packages, including Excel, Word, and Outlook (particular emphasis on Excel); 
• Ability to manage and prioritize a varied workload in a dynamic work environment; 
• A flexible approach to work and willingness to take on extra duties, work additional hours or on weekends as required;
 • Excellent attention to detail; 
• Trustworthy and honest;
 • Ability to evaluate financial data, derive relevant findings and present them in a meaningful manner. 
• Good organizational skills, time management skills, and setting work priorities 
• The ability to communicate effectively with different team members
 • Very good in English and good command of Turkish.


Bachelor’s degree in any related area.
