People in Need is looking for a (Data Entry Assistant) for its Syria/Turkey Mission/Based in South Idleb.

Duty Station: PIN’s South Idlib Office

GENERAL POSTION DESCRIPTION

The Data Entry Assistant is reporting to the Area programs team leader as his/her direct line manager.
REPORTING LINES
REPORTING TO:
• Technical Manager: Livelihoods Program Manager
• Supervisor: Area programs team leader
REPORTING ON: TBD

COMMUNICATION CHANNELS

Where needed, the staff may be asked to support liaison and coordination between other departments.

PRINCIPAL JOB DUTIES (RESPONSIBILITIES AND TASKS):

The main tasks of the Data Entry Assistant are:
• Preparing and printing lists of beneficiaries or any other documents before distribution (SBGs, SHGs, CFW Papers)
• Keep information (soft copies. hard copies) confidential.
• Scanning and checking documents (distribution documents) and storing and uploading them to the PIN formal websites.
• Preparation of the necessary documents prior to program activities
• Following the completion of the activity, scanning and uploading the files into SharePoint.
• Populate excel sheets with the information from paper documents in order to have digitalized data
• Continuously check and assess if data is correct, coherent and logical, notify line manager if some data inconsistency if identified
• Perform regular backups to ensure data preservation
• Follow the archiving system established by PIN for soft, Hard copies documents
• Generate reports and update the work done on a 3W file
• Receiving plans from programs LMs and inserting them into a 3w file
• Preparing the logistic and other type of contracts required for the projects
• Preparing the batches of documents that will be sent from Syria to Turkey on monthly basis
• Updating the beneficiary database for all projects periodically
• Checking photos and video for distribution and uploading to PIN formal websites.
• Regularly support the M&E team upon the request of the team leader
• Any ad-hoc tasks assigned by the line manager

• Other tasks assigned by employee’s Line Manager corresponding to actual needs of the mission, programs, and projects
• Understand and adhere to the mission’s National Staff Handbook, PIN Code of Conduct, PIN Key Policies and relevant guidelines
PRINCIPAL COMPETINCES REQUIRED:
I. Technical competencies:
• High school education / Bachelor degree in IT or relevant study
• 1 or more years of working experience (desirable)
• experience in NGO setting
• Communications skills in Arabic (compulsory) and English (desirable)
• Proficient in basic MS office required. Knowledge of other application such as Kobo (desirable)
