Position: People and Culture Assistant

Report to: Senior People and Culture Assistant

Background:

Green hands’ Office of Humanitarian Assistance (OHA) has developed a strategy for the organization’s response to the Syria crisis, anchored in a field presence.  Specifically, OHA is responding directly in Syria, intensifying GH’s assistance to Syrian IDP’s. This is being carried out through an approach to programming where projects focus on the sustainability rather than relief delivery.
GH is a fully registered organization in Turkey and are currently building its humanitarian response professionals in Turkey.      

The position of People and Culture Assistant exists to assist in recruitment & routine administrative activities of People and Culture Department and provide support to the green hands (GH) staff in Syria. The People and Culture Assistant must be able to deal effectively with people and handle all tasks assigned. S/he should deal with preparation and submitting various contracts, personal memos/documents and other personnel issues as required. The position report to Senior People and Culture Assistant and is based in Qah, Syria.  

Responsibilities:

The People and Culture Assistant is responsible for the following:

• Arrange/schedule interviews with the candidates and ensure the room is booked for interview.
• Prepare and print interview forms/package for the interview panel members.
• Conduct background check, collecting/ obtaining references for the potential employees prior hiring.
• Maintain accurate recruitment documentation and files.
• Ensure that all necessary documents are collected prior submission of the recruitment documents to People and Culture Officer to issue Job Offer/Contract.
• Create Personal files for new hired staff and ensure all recruitment documents are filed.
• Prepare the new employee orientation package and assist in conducting an orientation for new hired staff.
• Scan and file recruitment documents and other personal documents.
• Manage and arrange filing system. Review and modify file index according to the filing system requirements and ensure that the personnel files are kept in accurate manner.
• Assist in preparation of monthly payroll by collecting timesheets/attendance records.
• Maintains employee confidence and protects operations by keeping human resource information confidential.
• Arrange a site visit to GH/GC workstations and our area of operations.
• Perform any other job-related duties as assigned by the supervisor.

Education and Training
• High School Graduated is required; University degree is preferred.
Experience
• A minimum of 1 year experience in People and Culture.
• Working Experience with international donor funded programs preferred.

Technical skills
• Knowledge of accepted People and Culture practices and procedures.
• Good knowledge and understanding of local cultures.
• Good knowledge of MS Office packages
• Good command of spoken and written in English and fluent in Arabic;
• Attention to detail.
• Time management and prioritization skills
• High analytical and reporting skills.
• Tactful and diplomatic
• Excellent interpersonal skills and ability to work in a team-oriented environment.
• Ability to work well in a cross-cultural environment
• Ability to identify and solve problems in a timely manner
• Skills in database management and record keeping.
