 Advert – HR and Admin Technical Assistant (Maternity Cover)

A Humanitarian NGO dedicated in assisting people affected by conflict based upon its programming expertise in the Core Competencies of Shelter, Education, Water and Sanitation Hygiene, Food Security, along with Information Counselling and legal Assistance to forcibly displaced people, is looking for a youth facilitator candidate in a humanitarian/recovery context.

We are mainly looking for a positive person with concrete experience in knowing the context in Syria in addition to the ability to work independently, and confidentiality.

Overview

The purpose of the HR and Admin Technical Assistant is to support HR and Admin Officer in day-to-day operations. This will include processing daily transactions, conducting routine filing, data entry, and data processing in regards to Human Resources and Administration, with some focus on office administration. Also, this position is focused on updating the relevant HR trackers and Databases. Moreover, the HR/Admin

Technical Assistant will ensure adherence to procedures and processes. Finally, this position will support planning for the capacity building of the organization's staff. This role is based in the field to support the organization’s assistance activities in this area.

Generic Responsibilities

1. Adhere to the organization’s policies, tools, handbooks and guidelines

2. Assist a range of support with the implementation of the CC portfolio according to plan of action

3. Implements independently procedures and activities within own function or core competency as

delegated

4. Responsible for organizing and delivery of tasks in line with priorities and standards

5. Develop and maintain knowledge of the specialist area of work in which technical assistance and

support is being provided, in order to be most effective in supporting the team

6. Use initiative in day-to-day problem solving in line with agreed procedures, priorities and standards

for the area of work

7. Prepare and develop status reports as required by management

8. Ensure proper filing of documents

9. Promote and share ideas for improvement in your area of expertise

Specific responsibilities

1. General office administration management and implementing office policies SOP.

2. Maintaining the office equipment and stationary, scheduling repairs through Logistics department

whenever necessary.

3. Responsible for providing support to field-based staff in implementing the organization project(s);

Reporting on potential conflicts of interest, fraud, protection concerns, and any other effects

related to the organization’s assistance.

4. Maintain computerised and manual personnel records in line with internal procedures, regulatory

requirements and confidentiality requirements

5. Follow up and keep HR databases and all trackers updated. (Timesheets tracker, leaves tracker, and

all additional employees personnel trackers) and communicates to the HR and Admin Officer and

Amman office on request.

6. Carry out some Admin tasks such as filing of admin documents, payments of utility bills, and oversee stock management, and dispersal of office supplies from the office stock (stationary, canteen,

cleaning and hygiene items).

7. Distributing the cleaner’s tasks and following up to implement the tasks schedule on daily basis

8. Supporting the cleaners to fill the timesheets, leaves, any other documents and attending the

requested trainings

9. Receiving CBWs and filling their documents and management CBWs files on BOX.

10. Set-up arrangements of the meeting halls, manage meeting room booking system, and reserve

meeting rooms for interviews and HR related activities.

11. Attend all meetings assigned by line manager and prepare reports.

12. Maintain and update all staff contact list - ensure this is readily available to staff and management

13. Any other related tasks requested by the line manager.

Generic professional competencies:

1. Experience from working as an Assistant in a humanitarian/recovery context

2. Knowledge and experience within a relevant administration, craft or technical field and ideally a

relevant vocational qualification

3. Previous experience from working in complex and volatile contexts

4. Documented results related to the position’s responsibilities

5. Some knowledge of English

Context related skills, knowledge and experience:

1. Knowledge of the context in Northwest Syria in particular

2. Good understanding of Syrian labour law.

3. Bachelor’s degree, preferably business administration or other relevant educational background

combined with relevant professional experience.

4. Knowledge about own leadership skills/ profile;

5. Good communication and interpersonal skills

6. Strong computer skills in Microsoft Office (MS Excel, Word, and Outlook)

7. Strong organisational and team work skills

8. Knowledgeable in tracking and updating relevant information.
