Vacancy announcement  People in Need is looking for Data Management Officer for its Syria Mission based in South Idleb Office

  Position: Data Management Officer

 Location:  Hazzano Office 

Proposed Starting date:  15/9/ 2022 End 

of application: 24th of August 2022


The Data Management Officer will focus primarily on data management analysis and consolidation for PIN’s Northwest Syrian Livelihoods and Food security programs. 


  • Technical Manager:  Area Programs Team leader   REPORTING TO:  FS Team Leader  and Livelihoods Senior Officers  REPORTING ON: Data entry Assistants  PRINCIPAL JOB DUTIES


  • Keep information (soft copies. hard copies) confidential.

 • Continuously check and assess if data is correct, coherent and logical, notify line manager if some data inconsistency if identified

 • Perform regular backups to ensure data preservation.

 • Follow the archiving system established by PIN for soft, Hard copies documents

. • Contribute to the programs through support on data visualization and providing quantitative analysis of both beneficiary information management data and secondary sources using relevant software applications such as Excel, Power BI.

 • Checks and oversee quality of information from distribution lists, which are provided by field teams with close cooperation with Project Team Leader/Project Senior Officer 

• Updating the beneficiary database for all projects periodically in cooperation with programme teams. • Managing the databases/tracker for all Livelihoods and Food security projects and checking all entered data by daily basis to guarantee the data quality and make sure that data is clean and complete. • Providing the needed basic statistics to the Livelihoods and Food security teams according to the database/tracker in the format request by LM/Programme to ensure consistency of reporting between different offices.

 • Supporting Livelihoods and Food security field senior officers in completing the activities updates by the needed numbers. 

• Ensuring SOPs/instructions for data management, storage and quality assurance are circulated with all relevant staff. 

• Ensure that all templates/databases are updated, strengthened and repaired constantly.

 • Making sure that all data-related means of verifications/relevant documents are archived on the archiving system. 

• Delivering data entry training to the Livelihoods and Food security staff and PIN staff to make sure that they can deal with all PIN templates, trackers and databases. 

• Provide continuous feedback and suggestions to develop the templates in continuity. 

• Any ad-hoc tasks assigned by the line manager Coordination 

• Primary Coordinating with Line Manager and respective programme TL/Senior Officer in Hazano office for submitting data and receiving the feedback to develop the database/trackers as needed and as per requested formats/templates. 

 • When and where needed coordination with relevant focal point in Gaziantep LLH/FSEC/MEAL team 

• Ensuring to share experiences, lessons learned and data-related good practices. 

• Ensuring the data/bases and other outputs are in line and unified with the standards and templates used across the all offices, to allow comprehensive data management on the whole programme level

 •  Other

 • Other tasks assigned by employee’s Line Manager corresponding to actual needs of the mission, programs, and projects

 • Understand and adhere to the mission’s National Staff Handbook, PIN Code of Conduct, PIN Key Policies and relevant guidelines Human Resource Management

 • Providing day-to-day support, coordination and mentoring to data entry assistants in the field. 

• Providing capacity building support for data entry staff, through identifying trainings and liaising with Livelihoods and Food security management, and providing clear feedback on tasks.

• Supervising data entry in Livelihoods and Food security team and processes within projects that suits information system requirements. 

 Qualification Requirements 

• University degree in computing, data science or other relevant certification.

 • At least 2 years of relevant professional experience

. • Fluency in Arabic and English (written & verbal) is required. 

 • Wide & advanced experience in MS office programs (Excel, Word, PowerPoint, Outlook, etc), and data analyses programs (at least one program) and data collection programs such as Kobo. Skills competencies such as behavioral, interpersonal and personal skills
