Position: Finance Assistant

Location: North West Syria – Soran

ABOUT PEOPLE IN NEED:

PIN has been working in Northern Syria since 2012, providing emergency relief and early recovery support to conflict-affected communities. Programmers for conflict-affected communities in Syria focus mainly on Emergency Food Assistance, WASH, and Education, in addition to Early Recovery and Livelihoods activities. PIN’s contribution to the Syria humanitarian response is amongst the largest, with an annual turnover of over $30 million, engaging over 350 full- time staff members across Northern Syria and cross-border response hubs in neighboring countries.


GENERAL UNIT DISCRIPTION:

Finance Department is the part of an organization that is responsible for acquiring funds for the organization, managing funds within the organization, and planning for the expenditure of funds on various assets.

GENERAL POSTION DESCRIPTION

Finance Assistant responsibilities include processing payments, maintaining cost reports and managing invoices


REPORTING LINES

REPORTING TO:

• Technical Manager: Head of accounting

• Supervisor: Area coordinator

REPORTING ON: Non

COMMUNICATION CHANNALES

Besides his line manager, is/he closely works with Log and HR, supports Edu, FSL, M&E and security 


PRINCIPAL JOB DUTIES (RESPONSIBILITIES AND TASKS):

I. Description of activities in contract:

• Cash management service in PIN office: advance disbursements, direct bills, invoices, monitoring of cash balance, preparing weekly cash inventories

• Keep records of all cash operations in physical Cash Book

• Provide financial support to the project staff

• Scanning of all cash documentation and its filing

• Other ad-hoc activities as scheduled by the Mandator 

• Ensuring that documents comply with the Mandator´s internal procedures and donor requirements


II. General responsibilities:

• Keep record of all cash transaction in physical Cash Book

• Keep record of all advances and advance clearances / refunds of employees and current advance balance in physical List of Advances confirmed by employees signature for each transaction

• Checking formal correctness of financial documents received, refusing incorrect or incomplete documents


III. Additionally:

• Exchange of money –from USD to TRY

• Paper administration of money received and all payments

• Control of operation costs necessary for the office



IV. Other

• Other tasks assigned by employee’s Line Manager corresponding to actual needs of the mission, programs, and projects.

• Substitute relevant colleagues (fully or partially) during their absence when assigned by employee’s Line Manager.

• Understand and adhere to the mission’s National Staff Handbook, PIN Code of Conduct, PIN Key Policies and relevant guidelines.



PRINCIPAL COMPETINCES REQUIRED:

I. Technical competencies:

• Education in accounting / finance or related career.

• 3 Years of Work experience

• 1 Years of NGO experience 

• Intermediate level in English. Turkish are added advantage

• • Ability to organize and plan effectively

• • Highly motivated
